Terms of Service

These terms govern the use of MediBook, supplied by Pragati Solutions, A202, Mantri Lithos, Manyata Tech Park, Bengaluru 560045. By using MediBook, a clinic accepts them.

What MediBook is

A subscription appointment system for dental clinics. Patients book over WhatsApp by scanning the clinic’s own QR code; clinic staff manage appointments, dentists, branches, treatment courses and daily takings from a dashboard.

Plans and fees

  • Starter — ₹799 per month. Up to 2 dentists, 1 branch.
  • Professional — ₹1,799 per month, per branch. Unlimited dentists.

Neither plan limits the number of appointments. Fees are payable monthly in advance and are exclusive of GST and any other applicable taxes. Prices may change on 30 days’ notice; a change never applies to a month already paid for.

What the clinic is responsible for

  • The accuracy of everything entered into MediBook, including patient contact details, schedules and fees.
  • Obtaining its patients’ consent to be contacted on WhatsApp and to have their records held.
  • All clinical decisions and all care given to patients.
  • Keeping dashboard logins secure, and removing accounts for staff who leave.

MediBook is not clinical software

MediBook schedules appointments and records what the clinic tells it. It is not a medical device, it gives no clinical advice, and it makes no treatment decisions. Responsibility for patient care rests entirely with the clinic and its dentists.

WhatsApp delivery

Messages are delivered by Meta’s WhatsApp Business Cloud API. We do not control Meta’s platform, its policies, or whether an individual message is delivered. All clinics share one WhatsApp business number, so we apply sending limits — including a cap on non-essential messages to any one patient — to protect delivery for every clinic on the platform. Appointment reminders and booking confirmations are not subject to that cap.

Availability

We will make reasonable efforts to keep MediBook available, and will give notice of planned maintenance where we can. We do not offer a guaranteed uptime figure unless one is agreed in writing. The dashboard and the clinic’s records remain usable during a WhatsApp outage; only patient messaging stops.

The clinic’s data

The clinic owns its data. It can export its patients, appointments and treatments at any time, and we will not withhold that export — including at the end of a subscription. We use clinic data only to run the service, never to sell or to advertise. See the Privacy Policy.

Acceptable use

MediBook may not be used to send marketing to people who have not asked for it, to message patients who have opted out, to impersonate another practice, or for anything unlawful. We may suspend an account that puts the shared WhatsApp number at risk, and will tell the clinic why.

Suspension and ending the agreement

A clinic may cancel at any time, effective at the end of the paid month; we do not refund part months. We may suspend or end an account for non-payment or for a breach of these terms, after giving notice and a reasonable chance to put it right, except where the breach is serious enough to require immediate action.

Liability

Nothing here excludes liability that cannot lawfully be excluded. Otherwise, our total liability arising out of MediBook in any 12-month period is limited to the fees paid by the clinic in the three months before the claim, and we are not liable for lost profits, lost patients or other indirect loss.

Changes to these terms

We may change these terms and will update this page. Material changes will be notified to the clinic by email or WhatsApp before they take effect.

Governing law

These terms are governed by the laws of India, and the courts at Bengaluru have exclusive jurisdiction.
